Parish of Thriplow & Heathfield community grants

If you are a charity or community group within the Parish of Thriplow & Heathfield, or in the neighbouring area, and would like to apply for a grant, please complete the application form below before 28 February 2025.

The primary assessment of your application will be based on the text you submit within this form. Where a written response is required, please type your full and complete answers directly in the form below and only add links to websites or pdfs of documents etc as support for any of the answers you give below. This is apart from where we ask specifically for the charity website itself.

All applicants are also required to complete the Compliance and Financial Due Dilligence form. This is to reassure the Trustees that the charity is acting with best practice, have processes in line with expectations as laid-down by the Charity Commission and meet the standards of conduct of the Thriplow Daffodil Weekend Trust.

All applications will be considered when available funding is known and awards will be announced at the Annual Open Meeting usually held in June at Thriplow Village Hall.

The award of a community grant is a two-stage process.

Firstly, we will agree in principle to the grant – this is dependent on:

the amount of money that we receive from the Daffodil Weekend operating committee after the conclusion of that year’s event
the amount of grant requests we receive
the individual charity or community group’s ‘Financial Due Diligence’ information requested in the attached form part 2 and 3
the individual charity or community group’s ‘Standards of Operation’ information requested in the attached form.

Secondly, the release of funds. This is inline with the ‘Financial Due Diligence’ specified below. After the award of the grant, we can only release monies for expenditure that have been incurred i.e. we ‘pay on invoice’. When you have completed the purchase for which you have sought the Trust’s support on, we ask you to send us a copy of the final invoice you have received for the item/s referred to in your application.

SECTION 2: Previous grants from Thriplow Daffodil Weekend

Has your organisation received a grant from Thriplow Daffodil Weekend in the previous year to this application?

If a grant has been received in the previous year to this application, please indicate the amount awarded, how the money has been spent and if it has not yet been spent, tell us why not.

Please detail what fund raising you have undertaken since the grant was received last year.

SECTION 3: Charity Compliance and Financial Due Diligence

2) Best value for money: The Charities Commission requires all charity trustees to ensure that they are managing and allocating funds raised as responsibly as possible. We therefore seek assurances that you have sought the optimum and most cost-effective solution to the need you wish the Trust to help with.

3) Financial justification of your application: As a Trust we are obliged to ensure that we are helping those with the greatest need. To help us fulfil this requirement we are asking you to submit evidence of any capital reserves that you hold that could be spent on the need for which your application refers. In addition to this can you include confirmed expenditure in the year to March 2025 that makes a case for seeking additional support.

4) Final release of funds: We can only release monies for expenditure that have been incurred after the award of the grant. We 'pay on invoice' in other words. If there are particular circumstances where this would not be possible or be unpractical, please detail this in your application.

SECTION 4: A fairer, mutually supporting community – standards of operation

A) A demonstrated commitment to sustainability: Please provide a simple written response saying what your organisation is doing to reduce carbon emissions, reduce energy consumption and promote sustainability.

This standard ensures that everyone does what they can towards a more sustainable future.

B) A civility and respect policy: Please provide a simple written response saying what the policy of your organisation is towards ensuring that anyone associated with your organisation conducts any interaction with members of the public with civility and respect.

This standard ensures that the sense of community, support and civility is enhanced to the benefit of all who come into contact with any organisation aided by the Thriplow Daffodil Weekend and its grant giving Trust.

C) A demonstrated commitment (in the previous year) to raising funds yourself: Please provide evidence that you have sought to raise funds yourself so that you are not totally reliant on grants from external sources.

This standard is to ensure that organisations are seeking to support themselves as much as they can, rather than simply relying on the efforts of others.

D) Engagement with 'Thriplow Daffodil Weekend' itself: If you are a village-based charity or organisation, please provide supporting evidence that members of your organisation who live in the Parish or in nearby villages have helped out over the last Daffodil Weekend themselves in ways other than just on a stall or installation associated with your organisation.

This standard is to support the extensive effort that goes into running the event on the actual weekend – where hundreds of volunteers are required to make it work. Without volunteers there will be no Daffodil Weekend and no grant money to award.
